Scheduling a lead.

Once the Agent’s schedule is defined in Schedule Setup, leads can be assigned to an agent for meetings.

The schedule step is used in any situation that you wish to have dates for meetings or events logged into the main schedule.  The schedule step is added to a track by the system administrator when the map is built.
Default settings for notifications and reminders are set during this time but can be changed when an agent is scheduling a lead meeting.
Let’s look at how a lead is scheduled for a meeting in influx.

To schedule a meeting

  1. Within the lead record select the meeting step by placing your mouse cursor in the date field. The meeting dialog will open. 
  2. Select the agent you wish to schedule for from the agent dropdown. 
  3. Give the dialog a moment to retrieve the agent’s schedule (the spinner will appear next to the save button while the schedule is retrieved.
  4. The agent’s next available date and time will appear in the selector fields.
  5. If you want a different date and time first select the date field. The calendar popup will open, highlighting dates with available appointment times in orange.
  6. Select an orange highlighted date and give the dialog a moment to retrieve available times. 
  7. Select the time from the time selection drop down
  8. Default notifications and reminders will be set as defined by the system administrator but can be changed if you wish.
  9. When ready, click the Save button.

Tip
The duration of specific types of meetings is preset by your administrator. The default for meetings is 15 minutes. This is adjustable if additional time is required. See your administrator to make these system-wide changes.

To reserve an event seat

  1. Within the lead record select the event step by placing your mouse cursor in the date field. The event dialog will open. 
  2. The next available event of the appropriate type (seminar, education, or special) will load. 
  3. If you want a different date, select the date field. The calendar popup will open, highlighting dates with available events in orange.
  4. Select an orange highlighted date and give the dialog a moment to retrieve available times. 
  5. Select the Event from the event selection drop down
  6. Select the number of seat you wish to reserve from the Seats dropdown
    Note: that you cannot select more seats than are available in the Available seats count
  7. Default notifications and reminders will be set as defined by the system administrator but can be changed if you wish.
  8. When ready, click the Save button.
  9. When ready, click the Save button.
